From A to Z
One Year Before the Reunion
Rules for Committee Planning
(1) One person takes the lead
(2) And chooses people she/he knows will get the job done and are enthusiastic, energetic, and capable.
(3) Delegate Tasks with Due Dates (The Reunion Planner software has a To-Do Section in which you place committee members' names, task, and due date.)
(4) The following are tasks that should be considered when assigning duties for each committee member:
a. Search for people.
b. Maintain the main address list or database.
c. Prepare mailers and announcements
d. Edit the alumni/family histories for the Memory Book.
e. Put a memory album/photo book together
f. Make menu/meal arrangements
g. Select entertainment
h. Plan activities and games
i. Organize a pre-event fund raiser
j. Raise funds for a social action project
k. Send acknowledgement postcards and/or reminder notices
l. Manage the media announcements
m. Prepare pictures, slides or a video as a reunion display
n. Arrange for door prizes
o. Order a banner
p. Order t-shirts and other fund raising items
q. Make or order the photo buttons or name tags
r. Prepare Registration packets
s. Create a business directory or business card handout
t. Design a survey
u. Set up a memorabilia table
v. Assemble table centerpieces
w. Design and order decorations and displays
x. Produce an event program
y. Select or order souvenirs
z. Plan a picnic or other informal events
